Standard Cash Out Procedure
1. Count cash float box
Each cafe will have a float box for change and smaller bills that will always have a set amount. Count the box to ensure all currency is accounted for.
2. Ring through waste
- Select item(s) that are either broken or expired by creating a new order on the POS.
- Select Pay
- Select Discounts
- Select Waste
- Apply Discount
- Done
- Print the Waste order receipt to include with the end of day papers.
3. Count tills
Count each cash drawer and balance to $200. The remaining money will be used for the deposit and tips. For example:
Total cash drawer= $1000 – $200 float = $800 for the deposit and tips.
4. Clear any open orders on the POS
Ensure all orders are closed before performing End of Day procedure. Orders left open will be settled as “Abandoned (Order Voided)” on your bills report, when the system does the automatic EOD, this will affect expected cash.
- Login to Givex as Manager 101 – enter 101 as the login number
- Locate Managers Options (Open Orders > Managers Options)
- Close any open orders by opening each one and voiding the order
- Settle the orders at $0 with the correct payment option.
5. Perform the End of Day through the Manager 101 login
- Under the Manager Options screen, select Cash Out
- Select Print to get the tip total. *Use tip total amount from the bottom of the receipt – second last column to the right.
- Pull tips from the cash drawer and put in a plastic zipper bag, along with the receipt print out. Record the number on the printout, and the total you were able to pull on the cash out sheet.
- Count jar tips and add to the bag. Record the amount on a paper slip that says jar tips.
- Select End of Day to begin
- NOTE: You will see this warning. Ensure all orders are closed, select Cash Out to proceed
You will be asked to enter amounts as follows:
- Order ahead is 0.00 (throw out these receipts)
- Total closing amount for workstation 1 is the DEPOSIT + FLOAT (After tips have been removed)
- Total float for workstation 1: $200
- Both closing amount and float for workstation 2 are $200
- Total Cash on Hand: Enter the deposit amount only
- Receipts will print:
1. Closing Count
2. Closing Float
3. Cash Out Receipt (no need to keep small printouts) - Staple the EOD Transaction Analysis Report to the top, don’t forget to include the debit/credit printouts. Keep only the long receipts.
6. Forms to be Completed by Team Member doing Cash Out
- Complete cash-out form: please write your NAME, DATE, and CLOSING TIME
- Fill in the deposit amount for total cash.
- Please write in the tip amount pulled and the tip amount on the printout. (Sometimes we can’t pull the full amount, so we need to see if there is a discrepancy)
- In a neat package, please put the cash-out form on top, followed by the POS printouts with a paperclip. This can go in the SAME bag as the cash deposit and receipt stack (please fasten with elastic)
- Drop everything in the safe
- Take cash drawers and float into office (dedicated cash space), lock doors
